About the role
We are looking for a confident, highly organised and solutions-focused Executive Support Officer to provide high-quality executive support to the Director of Legal and Governance (Monitoring Officer).
This is a varied and influential role where you'll be trusted to work independently, exercise sound professional judgement and provide effective support across a busy senior leadership environment. You'll be responsible for ensuring the Director's office operates smoothly, while acting as a professional first point of contact for colleagues, elected members, partners and the public.
You'll need to be comfortable managing competing priorities, making well-considered decisions and dealing confidently with sensitive, complex and sometimes contentious issues. Your ability to analyse situations, identify practical solutions and use your initiative will be key to your success.
What you'll be doing
You'll provide comprehensive executive, administrative and organisational support, including
• Managing the Director's diary, prioritising commitments and ensuring they have the right information and briefing to make effective use of their time.
• Managing correspondence, calls, emails and other communications, responding on behalf of the Director where appropriate.
• Acting as a confident and professional point of contact for senior stakeholders, elected members, partners and members of the public.
• Handling sensitive and complex matters with discretion, diplomacy and sound professional judgement.
• Taking ownership of issues and resolving problems within agreed frameworks, escalating matters appropriately when required.
• Supporting meetings, including Senior Leadership Team and Functional Leadership meetings, and producing accurate, clear and timely minutes and action records.
• Maintaining effective office systems, records and filing arrangements, including electronic systems and relevant website updates.
• Supporting financial administration, including petty cash/P Card expenditure, spreadsheets and monitoring income and expenditure.
• Coordinating meetings, events, travel and accommodation, including preparing agendas and ensuring effective logistical arrangements.
• Contributing to projects, cross-team support and continuous improvement initiatives.
