About this role
Job Purpose The People Services Coordinator provides practical, responsive HR and recruitment support with a particular focus on coordinating recruitment and onboarding and supporting the smooth running of day-to-day HR processes. The role provides a responsive and organised service to managers, colleagues and candidates, ensuring recruitment and HR administration and coordination is completed accurately, efficiently and consistently. The postholder will work closely with the Director of People and Culture and wider colleagues, taking ownership of HR and recruitment processes and contributing to a culture of continuous improvement across the People function. The balance of work will flex according to demand, with recruitment coordination forming a key part of the role alongside wider People Services administration and coordination. Key responsibilities Recruitment coordination Coordinate recruitment campaigns from approval to appointment, including shortlisting, interview logistics and candidate invitations, ensuring actions, deadlines and dependencies are clear and progressed promptly. Work with hiring managers to agree practical recruitment timelines, interview arrangements and candidate communications. Prepare and publish vacancy information through agreed recruitment channels, including NHS Jobs and One Care channels, using approved job descriptions and advert wording. Maintain accurate recruitment records, candidate trackers and recruitment folders so that managers and People Services have a clear view of progress across live vacancies. Monitor recruitment activity and proactively follow up actions or issues that may delay appointments. Candidate and interview administration Act as a professional point of contact for candidates throughout the recruitment process, responding to routine queries and ensuring timely communication. Prepare interview documentation and support the smooth running of interview days, including right-to-work checks where required. Communicate recruitment outcomes and maintain accurate records in line with agreed processes, escalating non-routine queries to the Director of People and Culture. Offers, pre-employment checks and onboarding Prepare conditional and confirmed offers, contracts and new-starter documentation in line with hiring decisions and agreed terms, ensuring records are complete and stored appropriately. Progress pre-employment checks, including identity and right-to-work evidence, references, occupational health, qualifications and DBS checks where applicable, escalating delays or concerns appropriately. Coordinate practical onboarding with managers and relevant teams, ensuring new starters have the information, access and arrangements they need to start effectively. Update relevant HR records and systems accurately and in a timely way. Wider People Services coordination Provide day-to-day People Services administration and coordination, prioritised with the Director of People and Culture, including maintaining employee records, preparing routine correspondence and supporting cyclical HR processes. Provide coordination and administrative support for the HR services delivered to One Cares member practices, working with People Services colleagues to help ensure queries, records, correspondence and agreed actions are managed accurately and promptly. Support the day-to-day upkeep of the office and facilities and contribute to related projects where required. Use existing templates, checklists and processes consistently, while proactively identifying practical opportunities to simplify and improve People Services administration. Work with colleagues to implement agreed improvements and embed them into day-to-day practice so that processes remain efficient, consistent and easy to follow. Handle employee, candidate and other personal information sensitively and confidentially, maintaining accurate records and appropriate information governance. This job description describes the main responsibilities of the role. As a small organisation, One Care may reasonably ask the postholder to undertake other duties consistent with the level and purpose of the role.
