About The Role
Working Pattern - 08.00-16.30 Monday to Friday
Purpose of Role
Working closely with the project delivery team, you will provide key commercial and administrative support, ensuring accurate financial data, compliant documentation and the efficient management of commercial processes.
A key part of the role will be ensuring engineers’ and operatives’ time is accurately recorded and costed within the Technical Services CAFM system, alongside preparing payroll information and supporting wider commercial and procurement activities.
You will coordinate core processes across the project team, providing Project Managers with accurate and timely information to support effective commercial decision-making.
The role is based in our Glasgow Office.
Main Duties

Liaise with engineers and operatives to ensure timesheets are completed correctly and submitted within agreed timescales.

Process and accurately cost engineers’ and operatives’ timesheets within the CAFM system.

Prepare and populate payroll upload templates in line with payroll cut-off dates.

Liaise with the Payroll Team to investigate and resolve queries promptly.

Support procurement processes, ensuring appropriate documentation and procedures are followed.

Maintain accurate financial, commercial and project data across relevant systems.

Coordinate commercial administration and workflows across the project delivery team.

Maintain accurate records and ensure project and commercial documentation is kept up to date.

Provide Project Managers with accurate information to support commercial decision-making.

Liaise confidently with suppliers, clients, engineers and internal stakeholders.

Help identify and resolve discrepancies or issues relating to timesheets, costs, payroll or commercial information.
Skills & Experience
-
Previous experience in commercial, project, finance or payroll administration would be advantageous.

Experience within construction, facilities management, engineering or technical services would be desirable.

Excellent attention to detail with the ability to manage financial and commercial data accurately.

Experience using CAFM or ERP systems would be advantageous.

Strong IT skills, including advanced Excel, Microsoft Office and SharePoint.

Excellent communication and interpersonal skills, with confidence engaging with suppliers, clients and internal teams.

Strong organisational skills and the ability to manage competing priorities and deadlines.

Tenacious approach with the ability to follow queries and issues through to resolution.

Strong listening skills with the ability to understand and interpret instructions accurately.

Able to work effectively both independently and as part of a wider project team.
