We're looking for a friendly, organised and compassionate Extra Care Administrator to join our team at The Maples Extra Care
Scheme in Kirkby on a part-time basis.
In this role, you'll be the first point of contact for residents, visitors, families and contractors, providing a welcoming
reception service and effective administrative support within our Extra Care scheme. You'll play an important part in ensuring the
smooth day-to-day running of the scheme while helping to create a safe, supportive and vibrant environment for our residents.
Working closely with colleagues, residents and external partners, you'll provide a high standard of administrative support, assist
with scheme activities and services, and help ensure residents receive the best possible experience within our Extra Care
community.
Working pattern
This is a part-time position working 25 hours per week,
Monday to Friday from 10
00am until 3:00pm, based at The Maples. While
some flexibility may be available, candidates must be able to work these core hours to meet the needs of the service.
What you'll be doing
* Providing a professional, welcoming and customer-focused reception service for residents, visitors and stakeholders.
* Greeting visitors and contractors and ensuring sign-in procedures are followed in line with health and safety requirements.
* Managing meeting room bookings and supporting the day-to-day administration of the scheme.
* Producing newsletters, notices, promotional materials and other communications for residents.
* Maintaining accurate electronic filing, records and archiving systems.
* Taking minutes at meetings and ensuring documentation is stored appropriately.
* Supporting the operation of on-site facilities and services, including liaising with external providers where required.
* Ordering office stationery and monitoring supplies to ensure the scheme operates efficiently.
* Processing scheme-related income, including guest room bookings and additional access fobs.
* Supporting procurement activities and liaising with internal teams when required.
* Maintaining confidentiality and ensuring compliance with data protection requirements.
* Promoting safeguarding and reporting any concerns relating to vulnerable adults or children in line with policy and procedures.
What we're looking for
* Experience providing excellent customer service within a reception, administration or customer-facing environment.
* Strong administrative and organisational skills, with the ability to manage multiple tasks and priorities.
* Excellent communication and interpersonal skills, with the ability to build positive relationships with residents, colleagues
and visitors.
* Good IT skills, including experience using Microsoft Office applications such as Word and Excel.
* An understanding of the importance of confidentiality and handling sensitive information appropriately.
* Experience working within housing, social care, healthcare or a similar environment would be advantageous.
* An understanding of the needs of older people and a genuine commitment to supporting their wellbeing and independence.
* Knowledge of safeguarding practices and the ability to respond appropriately to concerns.
* A flexible, proactive and team-focused approach.

Interview process
Candidates will be invited to attend an in-person competency-based interview at The Maples Extra Care Scheme in Kirkby during the
week commencing 5th October 2026. The interview will explore your customer service and administrative experience, communication
skills, ability to manage competing priorities, and your approach to supporting older and potentially vulnerable residents within
an Extra Care environment.
