Finance & Operations Assistant (Part Time)

Overview

This role is responsible for the smooth running of core financial operations and key

administrative processes, ensuring accuracy, consistency, and strong financial control across

the organisation.

Working within the operations function and liaising with the organisations accountant where required, the role will take ownership of invoicing, supporting payroll, and day-to-day financial administration.

Main duties and responsibilities

Financial Operations & Invoicing (Primary Focus)

  • Own the end-to-end invoicing process for parent and client invoices
  • Ensure invoices are accurate and issued in a timely manner
  • Track payments and monitor aged debt
  • Maintain accurate internal financial records and documentation
  • Support month-end finance processes and reporting

Payroll Administration

  • Assist with monthly payroll for approximately 40 staff
  • Process starters, leavers, and contractual changes
  • Support with statutory payments and deductions
  • Support pension administration processes

Financial Tracking & Support

  • Track expenses and operational costs
  • Support basic financial reporting and analysis
  • Identify discrepancies, missing information, or financial risks
  • Provide reliable financial information, working closely with the CEO and Operations Manager to monitor organisation performance through budgets, forecasts, and financial analysis

Operational & Systems Support

  • Ensure alignment between service delivery and invoicing processes
  • Maintain accurate and up-to-date finance systems and records, including Podio CRM System
  • Support improvements to financial and operational processes

Compliance & Data Protection

  • Ensure compliance with organisation policies, UK GDPR requirements, and relevant data protection legislation
  • Maintain appropriate confidentiality and secure handling of organisation, employee, and client information
  • Follow organisational procedures relating to information security and data management
  • Support compliance with operational and regulatory requirements relevant to the role

Role Scope

  • Focus on core financial administration and operational support
  • Supporting with invoicing and payroll processes
  • Escalate complex financial issues where appropriate
  • The role does not include responsibility for financial strategy or full financial planning

Working Pattern

  • 15 hours per week with potential for increased hours in line with organisation growth
  • Hybrid or remote working arrangements available, subject to organisational needs
  • Flexibility required around payroll and invoicing cycles

  • Accurate and timely invoicing
  • Smooth and compliant finance processing
  • High levels of financial data accuracy
  • Reduced administrative workload for the Operations Manager
  • Strong financial organisation and process consistency

Essential Skills & Experience

  • Experience in a finance assistant, bookkeeping, or payroll role
  • Strong experience managing invoicing and payroll processes
  • Excellent attention to detail and accuracy
  • Confident using finance systems such as QuickBooks and Microsoft Excel
  • Experience using CRM and finance systems
  • Ability to work independently and manage priorities effectively
  • Strong organisational and communication skills
  • Ability to handle confidential information with discretion
  • Strong communication skills

Desirable Experience

  • Experience working in the voluntary sector
  • Knowledge of pensions administration
  • Experience supporting month-end reporting processes
  • Familiarity with forecasting, budgeting, or financial analysis
  • Experience using the CRM system Podio
  • Experience developing or maintaining SOPs and process documentation
  • Understanding of GDPR and data protection requirements
  • AAT qualified, part-qualified, or currently studying towards an AAT qualification
