We are pleased to offer an exciting permanent, part time opportunity for a Band 3 Administrative Officer to join our supportive and collaborative team.

22.4 hours per week

Working pattern

Tuesday, Wednesday and Thursday

This role plays an important part in supporting our clinical teams by helping to manage daily incoming referrals. You will support the day to day coordination of referrals, prioritising urgent and non urgent cases, and ensuring information is accurately recorded and communicated.

The post holder will take responsibility for booking clinics, processing new referrals, updating waiting lists and communicating appointment related information to patients/carers

Communicate appointment related information with patients, carers and other health professionals, you will help ensure referrals are processed safely, efficiently and in line with service priorities.

Make effective use of resources and reduce duplication.

Highlighting any urgent needs to the appropriate clinical services as required.

  • Receive and manage telephone calls from patients, carers and healthcare professionals in a professional and compassionate manner
  • Process new referrals, ensuring information is complete and accurately recorded
  • Book clinics and appointments, update waiting lists and communicate appointment details clearly and sensitively
  • Support the identification and escalation of urgent needs to the appropriate clinical teams
  • Assist with the local resolution of queries or concerns, following CLCH policies and procedures, including complaints handling
  • Communicate effectively using telephone, email, written and face to face methods, in line with customer care standards
  • Manage incoming and outgoing mail and undertake general administrative tasks, including scanning, filing and document management
  • Use relevant IT systems to enter, retrieve and maintain patient and service data in a timely and accurate manner
  • Maintain health records in accordance with information governance and confidentiality protocols
  • Support departmental filing systems, both electronic and paper based
  • Undertake smart card re authentication where required
  • To provide cover for other administrations/team members when necessary or when directed
