The Emergency Department & Major Trauma Team at Norfolk & Norwich University Hospitals are looking for an enthusiastic and motivated administrator to join our supportive & fast-paced team. This is a varied & rewarding role combining National Major Trauma Registry (NMTR) data management with secretarial and administrative support for the Major Trauma & Neurosurgery teams.

The successful candidate will play an important role in supporting patient pathways, monitoring waiting lists, booking neurosurgery follow-up appointments & ensuring high-quality trauma data is maintained. You will work closely with clinicians, nursing staff and the wider multidisciplinary team, helping to deliver safe, effective & compassionate patient care.

The post holder will provide administrative, data management and secretarial support to the Major Trauma and Neurosurgery teams within the Emergency Department. Duties include maintaining accurate patient records on the National Major Trauma Registry (NMTR), tracking trauma patients through their care pathway, monitoring waiting lists and booking neurosurgery follow-up appointments.

The role requires excellent organisational skills, attention to detail and the ability to manage competing priorities within a busy clinical environment. The successful candidate will communicate effectively with clinicians, nursing staff, patients and external organisations, ensuring information is managed sensitively and confidentially at all times.

The post holder will also support the clinical team with a range of administrative tasks including managing correspondence, arranging appointments, retrieving medical records and maintaining electronic systems and databases.

We are looking for someone who is proactive, reliable and able to work independently as well as part of a multidisciplinary team. Good IT skills, accurate data entry and a professional, patient-focused approach are essential.

  • To input and maintain all information required for the National Major Trauma Registry (NMTR), ensuring all data is complete, accurate and of a high quality
  • To provide secretarial and administrative support to the Major Trauma and Neurosurgery teams.
  • To monitor and manage neurosurgery follow-up waiting lists and escalate concerns appropriately.
  • To book, amend and coordinate neurosurgery follow-up appointments in line with Trust processes and clinical priority.
  • To maintain and arrange appropriate schedules, appointments and clinics as necessary.
  • To access and utilise electronic patient records and evidence-based information systems effectively and appropriately.
  • To assist the clinical team with general administrative tasks and support duties as required.
  • To complete additional ad-hoc duties as specified by the Major Trauma Lead.
  • To deal efficiently with enquiries from medical, nursing, managerial and allied health professional staff in a timely and courteous manner.
