As a Medico‑Legal Officer, you will be part of a centralised team responsible for managing Subject Access Requests and supporting the lawful disclosure of records to patients, solicitors, police, and other authorised bodies. You will help ensure the Trust meets its statutory obligations under the UK GDPR, Data Protection Act 2018, and Access to Health Records Act 1990.
This is a varied and rewarding administrative role where accuracy, empathy and professionalism are essential.
UHD are investing, developing and transforming Trust services in line with the New Hospital Programme. As part of this, some services may move site this year or next, either temporarily or permanently. Recruiting Managers will be happy to answer any service-specific questions at interview.
If a role or service relocates as part of a planned move, excess mileage will not be reimbursed. Travel from home to the new work base will be classed as a normal commute. Any other changes will be managed under Trust or national terms and conditions.

- Processing and coordinating Subject Access Requests, ensuring timely and compliant disclosure of medical records.
- Communicating directly with patients, relatives, solicitors, GPs, police, safeguarding teams, and internal colleagues.
- Using various IT systems to locate physical and scanned records and flag issues such as missing or mis‑scanned documents.
- Managing incoming emails and mail, routine correspondence, and escalating complex cases where required.
- Maintaining accurate logs, databases and tracking information to ensure high‑quality data management.
- Providing non‑clinical advice sensitively, including when patients or relatives may be distressed.
- Preparing documentation such as insurance forms, DWP forms and pension service paperwork.
- Upholding strict confidentiality, data protection standards, and departmental procedures.

- Is highly organised, with excellent attention to detail and strong administrative skills.
- Communicates clearly and professionally with a wide range of people.
- Can prioritise work effectively and use their own initiative within set boundaries.
- Remains calm, empathetic and respectful when dealing with sensitive or emotional situations.
- Has excellent IT skills and is confident learning new systems (training provided).
- Understands or is keen to learn about data protection, confidentiality and medical records processes.
