About this role
We have an exciting opportunity for a Personal Assistant and Governance Administrator to join the
NDM Operations team, where you will have two main areas of responsibility
- The effective day-to-day organisation of the Chief Operating Officer’s (COO) diary, which includes organising complex international travel arrangements. You will organise and schedule appointments, prepare meeting agendas, and deal with enquires, progressing matters as appropriate. In addition, will provide administrative support for projects the COO is involved with, such as building projects, research initiatives, organisational projects or co-ordination of information for external bodies.
- The effective co-ordination and administration of the NDM Governance structure. This includes organising and facilitating the department’s committee framework, managing the annual functional deadlines calendar, and overseeing the Tracking Oxford Actions Database (TOAD) to monitor and report on actions within agreed
timescales. You will also fulfil Committee Secretary responsibilities as required, preparing and compiling agendas and board papers, supporting report production, taking and circulating minutes, recording communications between meetings, and ensuring actions are accurately logged and reported.
Maternity leave cover post. This post is to cover the absence of the substantive postholder, who is taking a period of maternity leave. The post is available until 1 April 2027 or the actual return of the substantive postholder, or the resignation of the substantive postholder and employment of a new postholder, whichever is the earliest. This role can be offered as a secondment opportunity for internal candidates.
