About this role

To be responsible for the provision of dedicated EA Support for the service director.

To manage unexpected circumstances as and when they arise with the line manager/ST rep to ensure that there is adequate staff cover at all times.

To ensure that there is adequate staff cover for on call rota to support clinical delivery of care.

Toprovide administrative support to the CAMHS on call rep towards rota organisation and maintenance of live excel sheet

Management of weekly emails in a timely manner

To attend necessary meetings related to both aspects of the role i.e. EA and Rota Co-ordinator

Use of Patchwork to manage medical staff’s shift patterns, AL, Sick leave.

Liaison with bank patchwork and sharing necessary information and protocol with external locums.

Work with Trust Medical Staffing Team and external Switchboards to share information.

To provide effective and efficient EA and administrative support to the Service Director andeffective, efficient rota coordination and administrative support to the CAMHS out-of-hours service.

To provide effective and efficient EA and administrative support to the Service Director.

This will include

To manage the Service Director’s diary and provide high-level administrative support to meetings, including planning appointments, preparing and circulating agenda packs, producing accurate minutes and action logs, and monitoring follow-up actions.

To act as the first point of contact for all communications to the Service Director, handling sensitive or contentious matters with discretion and professionalism.

To ensure that any urgent matters are brought to the attention of the Service Director in a timely and appropriate manner.

To provide effective and efficient rota coordination and administrative support to the CAMHS out-of-hours service, including:

To lead the coordination of TH CAMHS rotas using Patchwork and MS Excel, ensuring rota information is kept accurate and up to date, shared promptly with the medical staffing team, and serving as the central point of contact for STs regarding rota matters.

To act as rota coordinator for the service, arranging cover when staff report sickness or unavailability, liaising with internal staffing to secure cover, and escalating to agency or bank staff where required to ensure safe and adequate out-of-hours provision.

To maintain and update live rotas on Patchwork and MS Excel, ensuring accuracy and timely communication of changes to all relevant parties.

To liaise with Trust medical staffing team and external switchboards, and internal stake holders to share rota information, on-call arrangements, and service requirements.

To communicate with external locum agencies via Patchwork, sharing necessary protocols and service information to facilitate appropriate cover.
