IT & Digital ManagerJob Title IT & Digital Manager Responsible To GP Partner/Practice Manager Location Earls Barton & Penvale Park Medical Centres Job Purpose The IT & Digital Manager will take responsibility for the effective day-to-day management, development and improvement of the practice's IT and digital systems. The postholder will provide practical technical support to staff, oversee digital systems and workflows, manage relationships with external IT and software providers, and identify opportunities to improve efficiency, patient access and the overall use of technology within the practice. The role is both operational and developmental, requiring someone who can resolve day-to-day technical problems while also helping the practice plan and implement future digital improvements. Key ResponsibilitiesIT & Hardware Support Provide day-to-day support for practice IT equipment and digital infrastructure. Troubleshoot and resolve issues with PCs, laptops, printers, scanners, touch-screen patient displays and other connected equipment. Identify recurring technical problems and take appropriate action to prevent them from reoccurring. Liaise with external IT support providers where issues cannot be resolved internally. Maintain an appropriate record of IT issues, faults and actions taken. Support the installation, configuration and replacement of IT equipment when required. Ensure equipment is available and functioning effectively across both practice sites. SystmOne & Clinical Systems Support the effective use and development of SystmOne across the practice. Manage and review SystmOne workflows to ensure tasks and information are directed to the appropriate teams or individuals. Review workflows regularly and identify opportunities to improve efficiency and reduce unnecessary administrative workload. Support staff with SystmOne-related queries and problems. Assist with the implementation of new SystmOne functionality and changes to existing processes. Work with clinical and administrative teams to ensure digital systems support safe and efficient patient care. Document Management Oversee digital document management processes and ensure documents are handled and routed appropriately. Review document workflows and identify delays, duplication or inefficient processes. Support the practice in maintaining an efficient, paper-light working environment. Assist staff with document management queries and provide appropriate guidance. Help ensure digital records and documents are managed securely and in accordance with practice procedures. Digital Systems & Transformation Support the introduction, implementation and ongoing management of new digital technologies. Work with the Practice Manager and clinical teams to assess how technology can improve patient access and practice efficiency. Support the implementation and optimisation of digital consultation, communication, telephone and patient-access systems. Monitor new technologies and make recommendations where they could benefit the practice. Support digital projects from planning and testing through to implementation and review. Evaluate whether newly introduced systems are delivering the intended benefits. Staff Support & Training Provide practical support and guidance to staff using IT and digital systems. Deliver or coordinate training when new systems or processes are introduced. Develop simple guidance and procedures to help staff use systems effectively. Encourage staff to adopt efficient digital ways of working. Work collaboratively with clinical, reception and administrative teams to understand their needs and resolve problems. External Suppliers & Service Providers Act as a key point of contact for external IT, software, telephone and digital service providers. Raise and monitor technical support requests and ensure issues are followed through to resolution. Monitor the quality and reliability of external services. Escalate recurring or significant issues to the Practice Manager. Assist with supplier reviews and provide feedback on system performance and service delivery. Information Governance & Security Support the practice in maintaining appropriate IT security and information governance standards. Ensure staff understand their responsibilities regarding confidentiality, passwords, access and safe use of digital systems. Identify potential IT and information-security risks and escalate them appropriately. Support the practice with relevant audits, inspections and compliance requirements. Ensure appropriate procedures are followed when IT equipment is replaced, disposed of or transferred. Business Continuity Support the practice in maintaining effective IT and digital business continuity arrangements. Identify critical systems and potential points of failure. Assist with contingency planning for IT, telephone and digital system outages. Respond promptly to significant system failures and coordinate with external providers where required. Communication & Team Working Work closely with the Practice Manager, clinical leadership and wider practice team. Communicate technical information clearly to colleagues who may have varying levels of IT knowledge. Listen to staff feedback and identify practical solutions to improve their working environment. Maintain a professional, approachable and helpful attitude when dealing with IT problems. Promote a positive culture around digital innovation and continuous improvement. Continuous Improvement Regularly review IT and digital processes to identify opportunities for improvement. Use staff feedback, system performance and operational experience to recommend changes. Help reduce unnecessary manual processes and duplication. Support the practice's wider digital strategy and transformation programme. Keep up to date with developments in primary care technology and identify relevant opportunities for the practice.
