About the Role

We’re looking for an organised and proactive

Office Managerto support the delivery of hard and soft facilities services across multiple client sites.

This is a varied, hands-on coordination role where you’ll help ensure services are delivered safely, consistently and to a high standard. You’ll work closely with clients, contractors and internal teams while coordinating a team of up to 20 employees and managing day-to-day facilities requirements.

Travel between sites will be required.

Key Responsibilities

  • Coordinate day-to-day

hard FM services, including planned and reactive maintenance, statutory inspections, utilities and contractors.

  • Coordinate soft services including cleaning, reception, waste, pest control, workplace support and events.
  • Lead, schedule, coach and performance-manage a multi-site team.
  • Act as the main point of contact for facilities queries, work orders and escalations.
  • Build strong relationships with clients and stakeholders and resolve issues professionally.
  • Coordinate contractor access, permits, inductions, risk assessments and method statements.
  • Maintain accurate operational, compliance and service records.
  • Support audits, inspections and corrective actions.
  • Monitor SLAs, KPIs, maintenance schedules, staffing, supplies and expenditure.
  • Support purchasing, purchase orders, deliveries, invoices and inventory control.
  • Coordinate site meetings, moves, events and business continuity activities.
  • Promote strong Health & Safety, environmental and service standards.
  • Identify opportunities to improve quality, efficiency and customer experience.

What We’re Looking For

We’re looking for someone with strong

facilities coordination, people management and customer service skills.

You’ll ideally have

  • Fluency in Mandarin
  • Experience coordinating facilities operations across one or more sites.
  • Experience across both

technical and workplace/soft services.

  • Proven experience leading, scheduling or managing teams.
  • Good understanding of Health & Safety, compliance, audits and contractor management.
  • Excellent organisation, communication and problem-solving skills.
  • Experience using Microsoft Office and CAFM/helpdesk systems.
  • Confidence working with KPIs, service data and operational reporting.
  • The flexibility to travel between sites and respond calmly to changing priorities.
  • A proactive, customer-focused approach with strong attention to detail.
