The AI and Digital Transformation Coordinator will support the successful implementation, adoption and day-to-day operation of AI and digital initiatives across the Federation and member practices. Working closely with the AI and Digital Project Manager, this role will provide practical, hands-on support to practices, Primary Care Networks (PCNs) and Federation teams to ensure new technologies, AI tools and digital solutions are implemented effectively and deliver measurable benefits. The post holder will be a contact for operational support, helping staff adopt new systems, coordinating training, maintaining project documentation, gathering feedback, tracking benefits and supporting governance requirements. Support practices to understand and use the full functionality of approved software, promoting effective and consistent adoption. This role is ideally suited to someone who enjoys working with people, technology and improvement projects and is passionate about helping primary care teams embrace digital transformation. DUTIES AND RESPONSIBILITIES OF THE POST Digital and AI Implementation Support Support the rollout of AI and digital projects across Federation services and member practices including adapting to new ways of working Support practices to understand and use all available features of approved digital products, helping them realise the full benefits of their functionality. Provide practical guidance and troubleshooting support to users during implementation phases. Help coordinate pilots, proof-of-concepts and service improvement projects. Monitor implementation progress and escalate issues to the AI and Digital Project Manager as required. Support the development and maintenance of project plans, action trackers and implementation schedules. Service, Practice and PCN Support Act as a support for teams including member practices, regarding AI and digital initiatives. Visit sites to provide hands-on support with deployment and adoption of digital solutions. Build strong relationships with Service/Practice Managers, Clinical Directors and operational teams. Gather intelligence on practice challenges and identify opportunities for digital improvement. Support teams to maximise the benefits of existing digital systems and technologies. Training and Adoption Coordinate and deliver introductory training sessions for staff using new digital and AI tools. Create user guides, quick-reference guides, SOPs and training materials. Support staff engagement activities promoting safe and effective use of AI technologies. Maintain records of training attendance and competency assessments where required. Identify barriers to adoption and work with teams to improve uptake. Data, Reporting and Benefits Realisation Maintain records of AI and digital projects, including benefits tracking and progress reporting. Collect data on system utilisation, staff engagement and operational benefits. Produce reports and dashboards for Federation leadership and governance groups. Support evaluation of pilot projects and development of business cases. Collate case studies and examples of good practice. Governance and Assurance Support the AI and digital project manager with the completion of project documentation including risk logs, issue logs and action trackers. Support completion of governance documentation such as DPIAs, SOPs and implementation records. Support compliance with relevant information governance, data protection, cyber security and organisational requirements, identifying and escalating governance issues through the appropriate channels. Assist with maintaining registers of approved AI products and digital tools. Support audit and assurance activities relating to digital transformation projects. Identify inappropriate or unsafe use of digital systems, software or products and escalate concerns promptly through the appropriate channels. Communications and Engagement Create and distribute communications relating to AI and digital initiatives. Coordinate meetings, workshops and user groups. Prepare agendas, minutes and action logs. Promote sharing of learning and best practice across practices and PCNs. Develop newsletters, intranet content and awareness campaigns to support digital transformation. Organisational Position The AI and Digital Transformation Coordinator will work closely with the AI and Digital Project Manager and across all Federation teams, practices and PCNs. The post holder will play a critical role in translating strategic digital initiatives into practical improvements that staff can successfully adopt and use. Participate in reflection, self-evaluation and continuous professional development including performance review. Ensure mandatory training is up-to-date at all times. Contribute to ongoing projects as required. SPECIAL CONDITIONS Undertake other duties as required, which are commensurate with the nature of the post.
