Main Purpose of Job

The primary purpose of this role is to provide effective coordination and administrative support to the Fire Safety Team, Building Safety Team, ensuring the smooth day-to-day operation of activities. This includes managing and responding to emails, maintaining accurate records, collating and organising data, and supporting the preparation of reports.

The role also involves coordinating meetings, scheduling appointments, preparing agendas, and documenting key actions, ensuring clear communication and follow-up across the team. By providing structured and proactive support, the coordinator plays a key role in enabling the Fire Safety Team, Building Safety Team to operate efficiently and maintain compliance with organisational and regulatory requirements.

Main Responsibilities

  • Act as the first point of contact for the Building Safety team, managing shared inboxes and ensuring timely and professional responses to enquiries.
  • Coordinate and organise team activities, including scheduling meetings, booking venues/virtual sessions, and preparing agendas.
  • Take accurate minutes and track actions to ensure timely follow-up and completion.
  • Collate, manage, and maintain accurate records and documentation, ensuring data is up to date and easily accessible.
  • Support the preparation of reports, dashboards, and performance data for internal and external stakeholders.
  • Assist in the coordination of fire safety, building safety compliance activities, ensuring documentation aligns with regulatory requirements.
  • Liaise with internal departments, contractors, and external stakeholders to support effective communication and information sharing.
  • Monitor deadlines and support the team in meeting key milestones and statutory obligations.
  • Maintain filing systems and databases in line with organisational standards and data protection requirements.
  • Provide general administrative support to the Building Safety team, contributing to the efficient and effective delivery of services.
