We are seeking a PPM Shutdown Coordinator to support the effective delivery of reactive works, planned maintenance activities and statutory compliance across client sites.
The role is responsible for coordinating subcontractors, managing work orders, and ensuring documentation and systems are maintained accurately and in line with contractual and compliance requirements.
Job Description
We are looking for an organised and customer-focused individual who can manage multiple tasks, liaise confidently with internal teams, engineers, subcontractors and clients, and ensure service levels, reporting and compliance obligations are met.
Key Responsibilities
Coordinate reactive works, planned maintenance and shutdown activities, including liaison with clients, building officers and engineering teams
Log, triage and manage reactive tasks, identifying appropriate solutions within contractual processes
Raise and manage work orders in Tririga and purchase orders in Coupa, following approval processes
Prepare and issue requests for quotations and coordinate subcontractor attendance on site
Maintain PPM schedules, assign work orders and ensure completion in line with monthly deadlines
Collect, review and upload compliance, test and completion documentation, including NICEIC-related records
Carry out Goods Receipt Note (GRN) processes and track remedial works as required
Prepare, download and circulate management reports, meeting minutes and relevant documentation
Professional and Personal Competencies/Qualifications
Previous experience in a customer service, contact centre or administrative role
Call handling experience
Proficiency in Microsoft Office applications
Excellent communication skills, both written and verbal
Proven ability to work within a team, supporting others to achieve shared goals
Strong organisation and planning skills, with the ability to schedule and prioritise tasks
Ability to understand and analyse statistical data
