The Opportunity

We are looking for a proactive, organised and motivated Operations Assistant to join our team in our London office. The successful candidate will support the delivery of a range of events across the Defence and Security portfolio, contributing to both the planning and onsite execution. This is a hybrid role, mainly office-based, with onsite work at live events, requiring travel over some weekends and evenings.

The Candidate

The ideal candidate will be a clear and confident communicator who is a strong team player and comfortable working with a range of stakeholders. They will bring a positive, proactive approach and a genuine willingness to learn and develop their skills. Detail-oriented and well organised, they will enjoy supporting the improvement of event templates and operational processes. The successful candidate will be able to manage multiple tasks at once and work effectively in a fast-paced environment, remaining calm and focused under pressure.

Key Responsibilities

  • Support the delivery of events across the portfolio, from confex-style formats to large-scale exhibitions, working closely with the Operations Lead/Team.
  • Assist with the onsite delivery of evening functions such as networking events and team dinners, with guidance and support from a manager.
  • Help produce and keep technical manuals and exhibitor documentation accurate and up to date, ensuring information is clear and well presented.
  • Act as a key point of contact for exhibitors and contractors, responding to enquiries professionally and promptly across pre-event, onsite, and post-event phases.
  • Maintain and update show administration, including exhibitor lists, schedules and orders.
  • Coordinate travel and accommodation arrangements for the team, ensuring bookings are made in a timely manner and within agreed budgets.
  • Prepare all operational materials for events and coordinate transport to site
  • Build positive working relationships with internal teams, suppliers and venues, contributing to meetings and supporting overall event delivery.
  • Assist with post-event tasks and evaluations, sharing ideas and feedback to help improve future events and ways of working.
  • Support a culture of Customer Success by helping ensure processes, templates and schedules are followed consistently across events.
  • Provide general administrative support to the Operations Team, including ad hoc tasks as required.

Computer literate

proficient, versed, and working knowledge of various programmes and systems i.e. MS Office, Outlook.

  • Flexible approach to working hours, including evenings and weekends when required onsite.
  • Willingness to learn and embrace new systems, technology, and ways of working.
  • Experience working with project management tools, i.e. Monday.com, Airtable is desirable.
