The role
Carlisle Support Services is looking for an Administrator to support to the management and operational teams as required, assisting with day-to-day business activities, supporting operational and client requirements, and remaining flexible to the changing needs of the business. The role will also support wider business needs as required and involve attending network days to develop a broader understanding of the operation and contract delivery. This position offers an excellent opportunity for someone looking to develop their experience within Facilities Management and can provide a strong springboard into a long-term career within the industry.
Your core role will include but not be limited to the following activities
- Monitor KPI performance on behalf of the management team using the CAFM system provided, ensuring KPIs are accurately tracked, prioritised correctly, issued to the relevant management teams, and closed out within agreed SLA timeframes.
- Keep detailed records of KPI failures, trends, and associated financial penalties within the CAFM system, providing accurate reporting information to support the Account Director.
- Liaise daily with operational management teams to monitor KPI progress, follow up on outstanding actions, and support continuous improvement across the contract.
- Attend weekly client KPI meetings to present performance data.
- Work closely with the client and operational management teams to monitor KPI progress, follow up on outstanding actions, and maintain strong working relationships to ensure contractual expectations are met.
- Monitor contract compliance by ensuring all staff training records and competency cards are kept accurate and up to date within the CAFM system, ensuring compliance with company and client requirements.
- Liaise with the HSQE team to ensure all training documentation, compliance records, and audit information are correctly logged, maintained, and readily available for review.
- Monitor compliance records relating to audits, inspections, and operational activities, ensuring documentation is accurate, organised, and maintained in line with contractual requirements.
- Liaise with machine suppliers and external contractors regarding equipment repairs, servicing requirements, and hire equipment swap-outs, ensuring all activities are recorded appropriately within the CAFM system.
- Maintain equipment asset registers and associated compliance documentation within the CAFM system, ensuring operational equipment records remain accurate and compliant.
- Support audit preparation and reporting by ensuring all CAFM system records, compliance documentation, and supporting evidence are maintained to a high standard and accessible when required.
- Coordinate, arrange, and attend meetings as required, ensuring relevant information is prepared and communicated to attendees in a professional and timely manner.
- Provide administrative support to the Account Director and management team through accurate note taking, recording meeting actions, and distributing meeting minutes where required.
The ideal candidate
- Previous experience in an administrative or people-focused role.
- Strong organisational skills and attention to detail, with the ability to manage competing priorities and tight deadlines.
- Confident IT skills including Microsoft Office.
- Confident to communicate with both written and verbal skills.
- Experience handling confidential information.
Successful candidates will be required to provide original documentation for detailed screening and vetting processes.
