About this role

The Arthur South Day Procedure Unit provides a multi-disciplinary approach to support patients coming in for their surgery and Pre-Op Assessment appointments.

The admin team is comprised of Receptionists and admission Clerks who work closely together and support the clinical team in the delivery of high quality, patient-focused healthcare for the patients of the Norfolk and Norwich University Hospital.

The post holder will be required to provide an effective reception service within Arthur South Day Procedure Unit and Ambulatory Care Unit at the Norfolk and Norwich University Hospital. Working closely with colleagues the post-holder’s responsibilities will be to greet patients and check them in for clinic appointments and surgery, input outcome and discharges via forms and hospital notes using PAS, create and collate medical records preparation and deal with complex patient queries involving the multi-disciplinary team.

The post holder will need to be patient-focused and a strong team player and able to multitask.

  • Have a working knowledge of the patient administration systems and a willingness to learn all relevant NHS computer systems.
  • Verify and record all patients’ details (including waiting list entries) on the patient administration systems.
  • Maintain all patient details up to date on the patient management systems in order that information is available for theatre lists, audit purposes and any other data that may be required.
  • Carry out all necessary procedures at the time of a patient’s assessment/admission to ensure that documentation is completed in a timely manner, prior to patient’s admission.
  • Handle queries, visitors and telephone enquiries in a helpful, courteous and efficient manner.
  • Prepare theatre information sheets for admissions, checking for any admin anomalies and preparing patient identification wrist bands
  • Make outpatient, clinical and assessment appointments as necessary. Enter details of patients on operating lists and update waiting list entries.
  • Ensure all documentation is filed correctly in Episodic Folders in accordance with health record guidelines and returned to Health Records Library (HRL) for scanning at the soonest opportunity.
  • Locate and retrieve patient notes, paperwork and x-rays from around the hospital site in preparation for anaesthetic assessment, day case and inpatient surgery,
  • Liaise with other departments in the hospital to ensure all documentation is correct for patient admission.
