About this role

An exciting opportunity has arisen to join the Project & Project Management team to co-ordinate and ensure the high quality, efficient and timely delivery of the Projects (Capital & Non Capital) on a day to day basis and to co-ordinate within Trust policies and procedures. Maintaining the capital financial ledger, recording orders raised and invoices returned to ensure accurate records and financial control.

Applicants will require exceptional Microsoft Excel knowledge, skills and experience.

The position is 30 hours per week.

  • To provide efficient and professional administrative support to Senior Managers and Project Managers as required
  • Maintaining Register within the department to ensure Project Managers is complying with Trust Policies & Procedures.
  • To manage administrative support to ensure consistent and efficient systems are in place and that workloads are efficiently managed.
  • Maintaining the capital financial ledger, recording order raised and invoices returned to ensure accurate records and financial control.
  • Microsoft Excel knowledge, skills and experience to support the management with records and data.
  • Ensure efficient systems are created and adhered to in relation to the Capital program of work.
  • Ensure Health & Safety procedures are compliant.
  • Assist with departmental communications.
  • Deal with all departmental incoming and outgoing correspondence.
  • To deal politely and effectively with internal/external enquiries, and to be the initial contact for calls and or visitors into the department, take messages, by phone or in person, and ensuring these are passed on to the relevant person with tact, diplomacy and sensitivity.
  • Be pro-active in the approach in making changes to the offices systems and procedures to ensure efficiency. Suggesting improvements within office / department procedures.
  • To support implementation and use initiative ensuring that daily tasks and on-going workloads are prioritised and completed within agreed time frames.
  • Provide general office duties which will include, but not limited to:creating new / maintaining systems to manage information, providing general secretarial services, providing general reception duties
  • To support the

P&PM team with meeting support

arranging meetings, preparing agendas and the generation of minutes/action logs.
