About this role

An exciting opportunity has arisen to join the Temporary staffing team as a Temporary Staffing Coordinator for a fixed term period of 5 months covering a short-term vacancy, due to the postholder going on secondment. Reporting to the Temporary Staffing Manager you will be responsible for delivering a first-class temporary staffing service across South West London St George’s Mental Health. This includes advising on processes and support service managers to fill their short-term gaps within their services.

The post-holder will be the first point of contact for temporary staff, agencies and line managers, guiding all aspects of the temporary staffing process in accordance with policies and procedures and national guidelines. You will provide a comprehensive administrative support to ensure the effective deployment, management and payment of temporary staff (bank and agency) in accordance with Trust policies and procedures.

The post-holder will support and work on key work-streams and projects enabling the temporary staffing team to deliver streamlined temporary staffing services across the Trust and help to reduce agency spend. You will deploy temporary staff through the bank staff management system into available shifts in accordance with their deployment permissions, ensuring that policies regarding working hours are adhered to. Additionally, you will deliver a seamless administrative service including dealing with reports for bank staff compliance such as mandatory training, visa’s, data cleansing, filling bank shifts and Agency regulation compliance.

The postholder will ensure that all Temporary Staffing Office operational service hours are covered as directed by the Temporary Staffing Manager. This will include some bank holidays when the service requires cover.

The postholder will be attending Trust inductions for bank staff representing temporary staffing, helping new starters with any queries they may have and ensure a 1stclass customer service. You will be expected to have an understanding of ATS, Temporary Staffing (Health Roster) and HR system applications.

This post is offered fixed term period of 5 months covering a short-term vacancy, due to the postholder going on secondment, and you will be working in accordance to the Trust agile working policy, with approximately 2 days in the office and 3 days from home.

  • To support the coordination of booking of temporary staff across all staffing groups where required. This includes bookings of medical locums.
  • To support the maintenance of accurate records on the e-rostering system and provide system support e.g. resetting passwords where necessary.
  • To ensure weekly bank payroll is checked and processed in line with payroll department weekly schedule
  • To be proactive in ensuring shifts are filled with bank workers, reducing agency use. This includes advertising shifts and identifying appropriate workers to fill the shifts, making use of a variety of methods of communication (i.e. telephone, email, SMS etc.).
  • To raise issues regarding the fulfilment of shifts to the Recruitment Services Team Leader as required.
  • To ensure all requests for shifts have been processed through the correct authorisation procedures and liaise with external agencies to fill available shifts when these cannot be filled by bank workers.
  • To support the consolidated invoicing process to assist with the administration and payment of agency workers
  • Record competencies, restrictions, preferences and performance/disciplinary information in the Bank Staff application as directed by relevant HR Business Partner.
  • To monitor the registration, skills, training and performance of Bank staff, notifying managers of any change in circumstances that may affect a Bank staff member’s deployment permissions, including personal preferences.
  • To maintain the bank staff management system, ensuring that all information regarding temporary staff within it is accurate at all times.
  • To ensure the receipt of all compliance checklists and associated information in relation to agency workers.
