About this role

We are seeking an experienced and highly organised Business Manager to support effective service delivery, governance, business planning and service improvement across the Specialist Service Line.

Working with the Service Line Management Team, Clinical Managers, Matrons, administration leads and corporate colleagues, you will provide business and administrative leadership, coordinate key meetings, maintain governance documentation and support service improvement priorities.

You will line manage administrative staff, oversee administrative workstreams, support performance reporting, audit and governance activity, and help monitor agreed actions and project plans.

We are looking for someone with experience in team management, business or performance processes, data analysis, report writing and service development. Strong communication, organisational and Microsoft Office skills are essential; NHS or mental health experience would be an advantage.

This varied role would suit someone who can manage competing priorities, bring structure to complex work and support safe, effective and high-quality services.

The Business Manager is responsible for enabling the effective operation of the Service Line through high quality administrative support to the senior leadership team. The post holder will have responsibility for line management of the service line admin staff and supervise the day-to-day functions of admin function e.g. diary management, coordination and administration of key service line meetings, ensuring issues are resolved promptly.

The post holder will ensure that core meeting documentation for key Service Line meetings are to the appropriate quality and standard and that storage of meeting documentation (minutes, agendas, action logs etc) are held centrally for audit and governance purposes.

The Business Manager will support the Service Line Management Team in the efficient and effective operational management of resources within the Service Line. The post-holder will support the development of key pieces of work such as the service line business plan and strategy documents under supervision.

The Business Manager will be responsible for providing leadership and or oversight support for service line or Trust admin related projects ensuring that that these are delivered effectively, in line with expected project governance. This will include writing up project plans overseeing project plans, overseeing implementation, ensuring key stakeholders are kept informed and providing highlight reporting and or feedback to key meetings where required.

Administrative Responsibilities

  • Organise and plan the workload of the Service Line Senior Leadership Team ensuring that the arrangements for meetings and appointments are managed effectively; that any relevant meeting material is available as appropriate and that workflow is scheduled so that deadlines are met. The postholder must be able to accommodate both proactive and reactive situations.
  • The business Manager will organise and administer formal meetings including: coordinating and preparing agendas and minute taking and progression of follow-up actions, on the SLT behalf.
  • Exercise judgement and discretion in the day-to-day handling, monitoring and filtering of appointments, correspondence and enquiries received into the Service Line.
  • Support the service line governance requirements, including management and timely updates of the relevant Risk Register

Policy Development

  • Responsible for implementing and adhering to policies for own work and involved in working groups associated with service developments within the boroughs which may impact beyond own area of activity.
  • Co-ordinate, organise and contribute to service line policies in designated area of responsibility, taking actions as appropriate.

Service Development, Project Management

  • Co-ordinating and assisting the service line on conferences/development sessions/workshops/events as appropriate.
  • Lead and support system change programmes within the designated area of responsibility, applying the principles of service redesign, change management and project management principles.
  • Have the ability to use motivational skills to encourage collaborative working to improve services/performance where there may be resistance to change
