About this role

The following are the core responsibilities of the receptionist. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels: Process personal, telephone and e-requests for appointments and home visits. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately Signpost patients to the correct service Initiate contact with and respond to, requests from patients, team members and external agencies Code data, using SNOMED on the EMIS Clinical System Photocopy documentation as required Data entry of new and temporary registrations and relevant patient information as required Input data into the patients healthcare records as necessary Direct requests for information i.e. SAR, insurance / solicitors letters, DWP and DVLA forms to the appropriate administrative team members Manage all queries as necessary in a polite and efficient manner Maintain a clean, tidy, effective working area at all times Monitor and maintain the reception area and notice boards Support all clinical staff with general tasks as requested Scan documents from hospitals and other sources and direct them appropriately, either to the GP or into the patients health records, according to the practice scanning protocol and procedure. Undertake clinical correspondence workflow according the practice protocol. Process incoming and outgoing mail Operate the e-Referral Process as part of the staff duty rota Support the practice Pharmacist and Pharmacy Technician in the management of repeat prescription service, ensuring they are processed accurately and efficiently. Directing enquiries regarding repeat medication to the Pharmacist and/or Pharmacy Technician as necessary and according to the practice processes. Chaperone patients when requested to do so (fully trained staff only) Respond to requests for test results / investigation, according to practice protocol Advise patients of relevant charges for private services, accept and log payments, and issue receipts. Provide back office and reception support as part of the staff duty rota. Summarise medical records as and when required, in line with the Practice Summarising Policy (fully trained staff only) Ensure all reception processes and procedures are maintained and adhered to Complete opening and closing procedures in accordance with the staff duty rota. Support administrative staff, providing cover during staff absences Undertake online consultation actions and telephone triage actions as part of the staff rota In addition to the primary responsibilities, the Medical Receptionist will be requested to undertake work for which they have sole responsibility: Responsibility for the administration of Subject Access Requests received from Solicitors, working within the agreed Practice processes and procedures for this workload.
