Job summary The post holder will play a key role in supporting the operationally running of the organisation. Reporting to the Deputy Chief Operating Officer the post has a wide ranging remit that encompasses data, reporting, assurance, car fleet management, supplies, website management, IT and asset management support, financial reporting and operational service line polices. Data and Assurance Compile, monitor and analyse performance data across the Federations services Identify under performance or variation against contract and work with colleagues to mitigate the shortfalls Develop and maintain suitable dashboards and performance reporting systems in line with commissioner requirements and Support with compliance with KPIs, quality standards, and contractual deliverables. IT and Asset Management Support Be a key link between NICS and our IT support provider and clinical system provider Provide first-line IT support to NICS employees and contractors including assistance with EMIS access, log-in issues, and wider system queries Maintain and monitor an asset register for NICS IT hardware and software. Stock and Inventory Management Liaise with operational and clinical teams to understand and assess stock levels Devise and maintain a procurement policy and system that fits the need of the organisation, and Order clinical and administrative stock and supplies in a timely and cost-effective manner. Governance, Compliance & Stakeholder engagement Support operational teams in the compilation and review of policies Maintain the NICS website keeping the content relevant and valuable for staff, patients and practices and Support NICS stakeholder engagement with co-ordination of the PCN Steering Group, locality meetings and other relevant forums. Car Fleet Management Support the Deputy COO and the Home Visiting team with the management of NICS car fleet. Financial Reporting Support NICS management accountant with the compilation and submission of the monthly ARRS claims to the ICB. Reporting Keep up to date with all NICS policies to ensure all incidents, complaints (verbal and written) and issues are reported effectively to the appropriate place. Training Ensure compliance with statutory and mandatory training is kept up to date in accordance with NICS policies. Inform the service manager of any training or development needs required to fulfil the role.

This will include (but will not be limited to): Ensuring job holders across our services adhere to their individual responsibilities for infection control and health and safety, using a system of observation, audit and check, hazard identification, questioning, reporting and risk management. Maintaining an up-to-date knowledge of health and safety and infection control statutory and best practice guidelines and ensuring implementation across the business. Using personal security systems within the workplace according to NICS guidelines. Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks across the business Making effective use of training to update knowledge and skills, and initiate and manage the training of others. Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards, and initiation of remedial / corrective action where needed Actively identifying, reporting, and correcting health and safety hazards and infection hazards immediately when recognised Keeping own work areas and general / patient areas generally clean, identifying issues and hazards / risks in relation to other work areas within the business, and assuming responsibility in the maintenance of general standards of cleanliness across the business in consultation (where appropriate) with other sector managers Undertaking periodic infection control training (minimum annually) Routine management of own team / team areas, and maintenance of work space standards Demonstrate due regard for safeguarding and promoting the welfare of children.
