Medical Receptionist Job Description Purpose of the Role The Receptionist provides a high-quality, efficient and patient-focused reception and administrative service, acting as the first point of contact for patients, visitors and external agencies. The role is essential in supporting the smooth day-to-day running of the practice while delivering excellent customer service and maintaining patient confidentiality at all times. Duties and Responsibilities The successful applicant will be responsible for: Presenting a professional and approachable image at all times. Greeting patients, visitors and healthcare professionals in a friendly, welcoming and courteous manner. Responding to patient enquiries promptly, efficiently and sensitively. Booking, amending and cancelling appointments in accordance with practice protocols, and signposting patients to the most appropriate service where required. Answering telephone calls promptly, handling enquiries professionally and liaising with patients, hospitals, community services and other external agencies. Registering new patients in line with practice policies and NHS requirements. Processing repeat prescription requests accurately and in accordance with practice procedures. Processing incoming and outgoing post as required. Scanning, coding and workflowing clinical documents using practice systems in accordance with established procedures. Using clinical systems including EMIS, Docman and Accurx to complete administrative tasks accurately. Managing and prioritising workload effectively to ensure tasks are completed within agreed timescales. Communicating effectively with patients, colleagues and external organisations. Assisting with opening and/or closing the premises when required. Supporting colleagues and contributing to the efficient operation of the reception team. General

Responsibilities The post holder will

Comply with all practice policies, procedures and NHS guidance. Work collaboratively with GPs, nurses, administrative staff, the Practice Manager and other members of the multidisciplinary team. Adhere to all Health and Safety policies and report any hazards or concerns promptly to the Practice Manager. Treat all patients, carers, colleagues and visitors with dignity, respect and professionalism. Maintain the highest standards of patient confidentiality and comply with all data protection and information governance requirements. Provide cover for colleagues during periods of sickness, annual leave and other absences, recognising that flexibility is an essential requirement of the role. Complete all mandatory and role-specific training as required. Attend staff meetings, training sessions and other practice meetings as appropriate. Undertake any other reasonable duties consistent with the grade and nature of the post to support the effective running of the practice. Confidentiality The post holder must maintain strict patient confidentiality at all times and comply with all relevant legislation, including the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and practice confidentiality policies.
