What skills and experience we're looking for

MAIN PURPOSE

  • to contribute to the planning, development and organisation of communication service systems and procedures
  • to assist in the implementation of the school’s communications strategies, marketing communications and public relations activities both internal and external
  • to maintain accurate record keeping systems, and ensure that Parentmail and Parentpay are updated with leavers and joiners
  • to be responsible for all extra-curricular bookings and related communication
  • To offer a warm and welcoming approach to all visitors, families, staff and children when contacting and communicating with the office

MAIN DUTIES

Administration

  • to word process and complete complex IT based tasks
  • to prepare and collate all information that supports the better organisation of any curricular activity for both staff and families
  • to communicate First Aid incidents via Parent Mail to families
  • to be responsible for all communication regarding extra-curricular activities and educational visits to families
  • to book transport tickets through TFL School Party Scheme for planned educational visits
  • to chase parental consent and payments and run relevant reports from ParentMail and ParentPay
  • to be responsible for all booking systems that involve parental involvement
  • to work in partnership with the Office Manager and Director of Operations in the planning of residential trips and educational visits
  • to undertake the administration of complex procedures e.g. collation of school reports, other school documentation
  • to operate relevant equipment/complex ICT packages
  • to undertake financial procedures e.g. raising official school orders and invoices
  • to be responsible for the collation of daily lunch numbers for both children and staff and communicate effectively with the Kitchen Leader
  • to produce personalised dietary need cards for any child with a dietary need and ensure classes have coloured lanyards for those with a dietary requirement
  • to be responsible for the management of Parent Pay and chasing payments for school lunches and educational visits and passing to the Director of Operations, when debts remain unpaid
  • to communicate effectively with all members of staff regarding stationery needs and resourcing
  • to support internal ‘house-keeping’ of a busy school office to include answering phones, photocopying, basic first aid, contact with families
  • to produce exercise book labels for all classes at the start of each term and for new in year starters, and during the term as required and directed by class teachers
  • to complete daily updating for the After School Club class door lists daily with attendees as directed by the Office Manager
  • to undertake any administrative duties commensurate to the position

RESPONSIBILITIES

  • to be aware of and comply with policies and procedures relating to safeguarding, health and safety, confidentiality and data protection and critical incidents procedures, reporting all concerns to the Director of Operations
  • to be aware of and support equal opportunities for all
  • to contribute to the overall ethos/work/visions of the school
  • to establish constructive relationships and communicate with other agencies/professionals
  • to participate in training and other staff developments activities as required
  • to attend and participate in relevant meetings as required
  • to be part of the Performance Management process

QUALIFICATIONS/TRAINING

  • to have very good Mathematics, English and ICT skills

KNOWLEDGE/SKILLS

  • to have a full working knowledge of relevant policies/codes of practice and awareness of relevant legislation
  • to have very good ICT skills
  • to participate in development and training opportunities
  • to have the ability to communicate well with children and all adults
  • to work constructively as part of a team, understanding school roles and responsibilities and your own position within these
  • to contribute to the wider life of the school (e.g. attendance at school fair, planned events, as appropriate)
  • to self evaluate learning needs and actively seek learning opportunities
