About The Role

As our Asset Management Administrator, you’ll provide essential administrative support to the Asset Management Property Maintenance Team, working closely with Project Managers, Surveyors and colleagues across Housing. A key part of your role will be managing the central subcontractor inbox, ensuring invoices are processed promptly throughout the day and liaising with managers, subcontractors and suppliers to resolve any queries. You’ll handle the processing of subcontractor and materials invoices within our finance system, ensuring all documentation is accurate, matched and verified for payment, and that batches are prepared correctly for financial completion.

You’ll also be responsible for downloading supplier invoice reports, updating monthly payroll information for our Trade Operatives, and preparing quarterly bonus data for HR. Maintaining our approved contractor list will be another important part of your role, ensuring all compliance documentation - such as insurance certificates - is up to date and suspending contractors where necessary. In addition, you’ll support the management of our fleet, coordinating MOTs, servicing, fuel cards, breakdowns and accident reporting.

Your wider administrative support will include managing correspondence, recharges, missed appointments, purchase orders, minutes and mail merges. You’ll also take on other duties as required by the Head of Contracts to support the smooth running of the team.

About you

You’ll be an organised and proactive administrator with experience in property repairs, maintenance or commercial administration. You’ll bring strong communication skills, excellent attention to detail and confidence working with numbers and data. You’ll be comfortable using Microsoft Office, particularly Excel, and able to solve problems, manage competing priorities and maintain accurate records. A willingness to learn and develop is essential, and experience within housing, repairs or a similar field would be an advantage. Knowledge of COSHH or manual handling would also be beneficial.
