Overview
This role delivers accurate, compliant and timely HR administration to support a seamless colleague experience. It manages contracts, onboarding, right‑to‑work checks, data updates and HR systems, ensuring strong data integrity and adherence to policy and legislation. Acting as a key contact for colleagues, managers and senior leaders, the role provides clear guidance, supports ER and benefits processes, and ensures consistent, high‑quality HR service across the organisation.
This role is a 6 month fixed term contract.

Key responsibilities
- Draft, update and finalise employment contracts and offer letters based on agreed terms, ensuring accuracy, correct templates, and compliance with company policies and employment legislation.
- Request, track and document professional and employment references for new hires, following up with referees promptly and escalating delays where needed.
- Check, verify and record employees’ right to work documentation, ensuring compliance with legal requirements and maintaining accurate audit trails.
- Gather all required onboarding documents, create digital personnel files, and ensure all mandatory documents are stored and logged correctly before start dates.
- Work closely with Recruitment and hiring managers to confirm offer details and issue contracts within agreed SLA timelines, addressing queries and preventing delays.
- Enter employee data and changes into the HR system, upload supporting documentation, and maintain confidentiality in line with GDPR and internal data-handling standards.
- Create, upload and track ER-related documents (e.g., letters, meeting notes), ensure case data is recorded accurately in HRIS, and support case managers with admin tasks throughout ER processes.
- Respond to system and process queries, guide users through self‑service actions (e.g., updating personal details, absence entry), and escalate technical issues when required.
- Act as a first point of contact for colleagues and leaders at all levels, providing prompt and accurate advice on HR policies, processes and employee data, meeting SLA timelines and signposting to specialist teams when needed to ensure a consistent, high‑quality service across the organisation.
- Oversee benefit enrolments, changes and terminations, ensure accurate data transfer to benefit providers, respond to employee queries, and support annual benefit cycles.
- Prepare and issue employment, mortgage and financial references using verified HR data, ensuring accuracy and timely completion
- Working from monthly reports to identify outstanding documents, contact relevant managers/colleagues to obtain missing information, and ensure all records are up to date.
Required skills & experience
- Previous administration experience – ideally within a Human Resource team
- Clear and confident verbal and written communication skills, with the ability to work with colleagues at all levels and liaise with external partners
- Well organised - able to manage several tasks at once and plan ahead to meet deadlines
- Good attention to detail with the ability to handle information accurately and maintain confidentiality at all times
- Proactive and self‑motivated, able to work independently as well as collaboratively within the team
- Previous experience using Microsoft Word, PowerPoint, Excel, Outlook and ideally SAP HR
