About this role

To support the Service Manager and the Assistant Service Manager with the general supervision of the Centralised reception and booking team including the admin POD across the 2 main sites. To provide a streamlined service for Outpatient care which involves close liaison with patients, colleagues and both GPs and other health care professionals.

Ensuring all outpatients is booked according to the Access Policy rules and calls are answered and dealt with efficiently and quickly.

The post holder will lead a team who book a range of appointments across all sites and specialities within Epsom and St Helier Hospitals, offering a choice of dates and times for appointments, while complying with the 18-week guidelines.

The Team Leader will be responsible for the line management of training and development for all staff and support individuals with any personal development plans.

To take responsibility for liaising with other departments within clinical services, the Team Leader will contribute to service development in collaboration with the Service Manager and Divisional General Manager. The aim will be to achieve a fast and accurate clinic scheduling service with continuous improvement, so that the patient’s pathway through the service is seamless and efficient.

The post holder will be responsible for facilitating the daily management and supervision of staff, ensuring rotas are covered and workflows are maintained.

They will be responsible for recruitment and induction, personal development plans, mentoring, performance management, monitoring sickness, and arranging cover for annual leave, in accordance with Trust policies.

Ensure Epsom and St Helier NHS Trust Policies are always adhered to and patient confidentiality is maintained.

Supervising the outpatient booking Staff, ensuring they have a good knowledge of the services and computer systems and offering support where needed.

Take part in compiling rotas across the 2 main sites, to ensure that adequate shift cover in all areas of the centralised Booking team including secretarial and reception cover between 8.00 am and 5.00 pm Monday to Friday initially and then moving on until 6 pm if necessary.
