Receptionist/Administrator

About this role

The successful candidate will provide a professional, efficient and courteous reception and administrative service to patients, visitors and healthcare professionals. As a key member of the Reception and Administration Team, they will support the smooth day-to-day running of the practice and contribute to the delivery of high-quality patient care. The role involves acting as one of the first points of contact for patients and visitors, providing a welcoming, professional and efficient service at all times. Responsibilities will include receiving and assisting patients, answering telephone calls, responding to enquiries, booking, amending and cancelling appointments, and signposting patients to the most appropriate service where required. The successful candidate will undertake a variety of administrative duties to support the effective operation of the practice. This will include processing patient registrations, maintaining accurate patient records, scanning and filing documentation, processing incoming and outgoing correspondence, and supporting clinicians and the wider practice team with administrative tasks as required. All work must be completed accurately, efficiently and in accordance with practice policies and procedures. The post holder will be expected to deliver excellent customer service, maintain confidentiality at all times and contribute positively to a supportive team environment. They must be able to work effectively under pressure, manage competing priorities and adapt to changing demands within a busy healthcare setting. Flexibility will be required to provide cover for colleagues during periods of annual leave and other absences. The ideal candidate will have previous customer service experience and excellent communication and interpersonal skills. They will possess strong organisational skills, attention to detail and good IT skills, together with the ability to learn new systems and technologies. Experience of working within a healthcare setting and knowledge of SystmOne would be advantageous but are not essential, as full training will be provided. The successful candidate will be professional, approachable and reliable, with a positive attitude and a commitment to delivering outstanding customer service and high-quality patient care. A minimum of 25.75 hours per week is required. The successful candidate must be able to cover the following core shifts: Monday 07:45-13:30 and Tuesday to Friday 13:30-18:30. These core hours are essential and must be covered. Additional hours may be available, up to a maximum of 37.5 hours per week, for the right candidate.
