About the Role
A welcoming and well-established SEN Primary School in Ealing is seeking an experienced School Administrator to join their team from September 2026.
This is an excellent opportunity for a highly organised and proactive administrator with previous school-based experience. The successful candidate will play a key role in supporting the smooth day-to-day running of the school, providing administrative support to senior leaders, staff, pupils, and parents.
Due to the nature of the role, applicants must have previous experience using SIMS and supporting the administration of Annual Review meetings for pupils with Education, Health and Care Plans (EHCPs).
Key Responsibilities
School Administration
Manage the school's reception and act as a professional first point of contact for visitors, parents, staff, and external agencies.
Maintain accurate pupil records using SIMS.
Process admissions, attendance, and pupil data in line with school procedures.
Prepare correspondence, reports, letters, and other school documentation.
Manage incoming calls, emails, and enquiries efficiently.
Support senior leadership with general administrative duties.
Maintain confidential records in accordance with GDPR requirements.
Coordinate school diaries, meetings, and appointments.
Assist with staff administration and record keeping.
Annual Reviews and EHCP Administration
Coordinate Annual Review meetings for pupils with EHCPs.
Prepare and distribute review paperwork within required timescales.
Liaise with parents, carers, teaching staff, therapists, and local authorities.
Record meeting outcomes and ensure documentation is completed accurately.
Monitor review schedules and ensure statutory deadlines are met.
Maintain accurate SEN records and pupil documentation.
Attendance and Data Management
Monitor pupil attendance and follow school procedures regarding absences.
Produce attendance and pupil reports as required.
Support census returns and other statutory data submissions.
Ensure all pupil information is accurate and up to date.
Requirements
Essential
Previous experience working within a school administration role.
Strong working knowledge of SIMS.
Experience coordinating or supporting Annual Reviews for pupils with EHCPs.
Excellent administrative and organisational skills.
Strong written and verbal communication skills.
Ability to manage multiple priorities and deadlines.
Good IT skills, including Microsoft Word, Excel, Outlook, and Teams.
Professional and approachable manner when dealing with parents and external professionals.
Ability to maintain confidentiality and handle sensitive information appropriately.
Enhanced DBS on the Update Service or willingness to obtain one.
Desirable
Experience working within an SEN school or specialist education setting.
Knowledge of EHCP processes and SEND legislation.
Experience supporting attendance administration and school census returns.
First Aid or safeguarding training.
