Post and Scanning Administrator

About this role

As part of our team, you’ll support Payroll and Pensions administration, helping to keep everything running smoothly behind the scenes. You’ll make sure all post and email correspondence is handled accurately and on time, ensuring it’s recorded, processed and sent out in line with company policies.

You’ll work closely with our UK and Bangalore People teams, including Pensions, L&G, Payroll and Benefits, building great relationships along the way. You’ll also partner with colleagues in Legal and Finance, and support both current and former colleagues with their queries.

Day to day, you’ll liaise with external organisations like HMRC, DWP and mortgage providers, making sure the right information gets to the right place. Your role will help us deliver a reliable, smooth service that our colleagues can count on.

  • Looking after all post and email processes from start to finish, opening mail for our stakeholders, and scanning and processing ID documents. Making sure everything we send and receive is handled correctly and on time.
  • Processing ID documents by scanning, indexing and setting up tasks on our Defined Benefit Pension system so everything is easy to access and track.
  • Handling requests for personal information from organisations like HMRC, DWP, courts and councils, as well as Subject Access Requests. Always following our Business Code of Conduct, GDPR rules, and doing the right thing with care and integrity.
  • Scanning and sharing incoming mail quickly with the right stakeholders, keeping within agreed timeframes.
  • Managing the sending out of key documents and items, including long service awards, colleague benefit letters, P45s, P60s, P11Ds, pension letters, and Reward & Benefit communications.
  • Looking for ways to improve how we work, building the team’s knowledge and finding simpler, better ways to get things done.
  • Keeping our process guides up to date so everyone knows how things should be done.
  • Making sure joined-up processes with the Defined Contribution Pension Scheme run smoothly, so the right pension teams get the right information at the right time.
  • Strong communication skills, both written and verbal, so you can share information clearly and confidently
  • Good organisation and planning skills, helping you stay on top of your workload
  • Great attention to detail, with the ability to stay calm and focused when things get busy
  • Confidence using Microsoft Office tools like Outlook, Excel, Word and PowerPoint
  • The ability to prioritise your time and manage multiple tasks effectively
  • Comfortable working with numbers, with the ability to analyse and understand data
  • Experience in a customer service or administration role would be helpful, but not essential
  • A team-focused approach, with experience building relationships and bringing people with you
  • Some knowledge of Payroll policies, processes and systems would be a bonus
  • An understanding of Defined Benefit pension schemes would be useful, but not essential
