The ideal candidate will be able to
- Provide a high standard of reception and administrative support, working closely with clinical, administrative and operational colleagues to ensure the smooth and efficient running of services and facilities.
- To use Trust systems including SystmOne, room booking systems and other systems as required, alongside effective use of Microsoft Office applications. Receptionists are expected to work flexibly across HCT reception sites to cover annual leave, sickness and service needs, and to contribute to a consistent, welcoming and professional experience across the organisation.
Act as the first point of contact for patients and visitors by providing a courteous, professional and compassionate reception service. Communicate effectively with people from diverse backgrounds using tact, diplomacy and sensitivity, including addressing language and cultural needs. Support patient flow and clinic attendance through accurate check‑in processes using relevant systems, while maintaining dignity, privacy and confidentiality in an open reception environment.
Manage face‑to‑face and telephone enquiries, responding appropriately or signposting to the relevant service or colleague. Respond calmly to distressed service users, escalating concerns where necessary. Work closely with the Line Manager, Operational Site Manager and Estates Site Manager to support the day‑to‑day running of reception services and facilities, including opening and closing buildings when required.
Support clinic operations through room bookings and diary management, report and follow up maintenance issues with estates, facilities and contractors, and maintain reception areas to a high standard. Monitor stationery and supplies, escalate shortages, and support document scanning onto SystmOne. Provide cross‑site reception cover as required. Ensure records are maintained in line with Trust policy, uphold data protection, support infection control and safeguarding responsibilities, and undertake roles such as Fire Marshal following training.

Be responsible in meeting and greeting patients and visitors to HCT, delivering a high standard of comprehensive reception and administrative support to ensure effective delivery of clinic services to patients and clinical staff which fall within the remit of Hertfordshire Community NHS Trust.
Be responsible for ensuring the smooth running of the clinics and facilities. Working with the minimum supervision and using initiative to achieve service requirements and deadlines.
In addition, the post holder will act as a point of contact for patient queries and ensure patient confidentiality is maintained at all times In line with expectation and Trust policy.
